Who this policy covers
This policy explains how Island Preservation Group (“IPG”, “we”, “us”) handles personal information collected through islandpreservationgroup.com, our booking and contact forms, our email communications, and our customer records.
We handle personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia’s Personal Information Protection Act (PIPA). Our commercial email practices follow Canada’s Anti-Spam Legislation (CASL).
What we collect
Information you give us
When you request an assessment, contact us, or use one of our calculators, we collect what you enter:
- Your name, email address, and phone number
- The property address and city the request relates to
- Details about the property and the work: approximate roof age, primary concern, service needed, and your timeline
- Any message or notes you choose to write
- Your confirmation that we may contact you about your request
If you sign up for our newsletter, we collect your email address. If you join our referral or partner program, we collect your business contact details and the referrals attributed to you.
Information collected automatically
- The page you submitted a form from
- Campaign parameters in the link you arrived through (UTM tags) and, if you followed a partner link, that partner’s referral code
- If — and only if — you accept analytics cookies: standard website analytics such as pages viewed, approximate location, device and browser type, and referring site
We do not collect payment card details on this website, and we do not buy personal information from data brokers.
Why we collect it
We use your personal information only for the purposes you would expect:
- To respond to your request — contacting you about an assessment, booking a visit, preparing a quote, and doing the work
- To service your property — maintaining service history, scheduling re-care reminders, and honouring warranties or membership terms
- To communicate — appointment and quote notifications, and, where you have consented, occasional news and seasonal maintenance reminders
- To run and improve the business — understanding which pages and services homeowners find useful, and improving our site and offerings
- To meet legal and tax obligations
We do not sell your personal information, and we do not rent or trade it for marketing purposes.
Your consent, and how to withdraw it
You give consent when you tick the consent box on a form, subscribe to our newsletter, or accept analytics cookies. Consent for one purpose is not consent for another — agreeing to be contacted about your assessment does not sign you up for marketing email.
You can withdraw consent at any time:
- Click the unsubscribe link at the bottom of any marketing email
- Reply “stop” to any email from us
- Decline analytics in the cookie banner, or clear this site’s browser storage
- Email info@islandpreservationgroup.com and tell us what you want stopped
Withdrawing consent does not affect service communications we must send about work already underway, or records we are legally required to keep.
Email tracking and unsubscribes
Our marketing emails may include a small tracking image that tells us an email was opened. We use this to gauge whether our messages are useful and to stop emailing people who never open them. It records the send, not your inbox contents.
Every marketing email includes a working unsubscribe link and a List-Unsubscribe header. If an address unsubscribes, bounces, or reports our message as spam, we add it to a suppression list and it is excluded from all future sends. We do not remove addresses from that suppression list unless the person asks us to.
Where your information is stored
Your personal information is stored and processed in the United States. Our database, application servers, and email infrastructure are operated by the providers listed above on U.S. infrastructure.
This matters, and we want you to know it up front: while your information is in another country, it is subject to that country’s laws, and may be accessible to its courts, law enforcement, and national security authorities under those laws. We require our providers to protect personal information to a standard comparable to Canadian requirements, but we cannot exempt them from lawful orders in their jurisdiction.
If you would prefer we not store your information, the practical alternative is to contact us by phone or in person and ask us to keep records to the minimum needed to do your work.
How long we keep it
We keep personal information only as long as it serves the purpose it was collected for, or as long as the law requires:
- Enquiries that never became work — kept while the enquiry is active, then archived and deleted on our regular retention schedule
- Customer and service records — kept for the life of the relationship and afterwards where needed for warranty, tax, and legal obligations
- Unsubscribe and suppression records — kept indefinitely, because that is the only way to guarantee we never email you again

How we protect it
Our site is served over HTTPS. Access to customer records requires an individual authenticated account, and is limited to authorised operators on an explicit allowlist. Database access rules deny access by default. API keys and credentials are stored as server-side secrets, never in the website you are reading.
No system is perfectly secure, and we will not pretend otherwise. If a breach occurs that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada as PIPEDA requires.
Your rights
Under Canadian privacy law you can ask us to:
- Tell you what we hold about you, and how we have used and shared it
- Correct anything inaccurate or incomplete
- Delete your information, where we are not required to keep it
- Stop contacting you, or withdraw a consent you previously gave
Email info@islandpreservationgroup.com with your request. We will respond within 30 days, free of charge in ordinary cases. We may need to verify your identity before releasing information — that protects you, not us.
If you are not satisfied with how we have handled your information or your request, you may complain to the Office of the Privacy Commissioner of Canada, or to the Office of the Information and Privacy Commissioner for British Columbia.
Children
Our services are offered to property owners. This site is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.
Changes to this policy
If we change how we handle personal information, we will update this page and change the “last updated” date above. Material changes that affect how we use information you have already given us will be communicated directly where we have a way to reach you.
